Request Submission Rules
- Authorized Submitters: Requesters (students, staff, or faculty) cannot submit card or key access requests for themselves. All requests must be submitted by Principal Investigators (PIs), lab coordinators/managers, or department administrators/managers. Requests made by unauthorized individuals in person or via email will not be accepted.
- Access Requirements: After-hours access to the BSB is strictly reserved for faculty and staff occupants of the BSB and those participating in a research faculty member’s laboratory. General after-hours access for undergraduate students to study or anything not related to specific research faculty’s research is not permitted. If an undergraduate student requires after-hours access for research, the PI or lab manager must submit the request containing a detailed justification of need.
- How to Submit: Requesters must use the designated Form link found below to submit their requests.
- Note: You must be on Baylor’s network or if working remotely on Baylor’s VPN in order to submit these forms.
Card Access Policy
The BSB Director's Office manages and grants card access to the building's entrances, exits, and shared building spaces. Card access to individual laboratories, departmental areas, or core research facilities with card readers is granted directly through those respective department administrators and facilities managers.
Restricted Access Areas
These areas include the Loading Dock and the 5th Floor (Penthouse). Requests for these doors and areas require additional justification for the requests.
- Loading Dock / Stockroom Area: is an active loading dock with moving trucks and hazardous chemicals. It is not to be used as a general building entrance or shortcut.
- General access to the loading dock is not granted for routine deliveries. Retrievals of deliveries, dry ice, liquid nitrogen, and cylinders must be done through Chemical Stockroom personnel, who will provide access at the time of pick-up. This is limited to standard business hours (Monday – Friday, 8:00 AM – 5:00 PM) to ensure proper inventory management, security, and safety. (Note: Users who were granted access prior to this implementation policy will retain it until their expiration date, but no new access will be approved for these purposes).
- 5th Floor (Penthouse): access is only granted for those who can be confirmed to work in the Fish Lab, have approval from Chemistry Department Chair for the Glass Shop, or confirmed to have appointments with the Machinist.
- Access to the Plant Growth Room or the Vivarium is given after successful completion of the internal review and training processes required by each facility's director and manager.
Physical Key Request Policy
(Note: A comprehensive update to physical key request procedures is forthcoming. Please follow these general guidelines for current submissions.)
- Submitting a Request: All requests for physical keys must be submitted using the “BSB Key Request Form” link below.
- Using any other form or submission route to the BSB Director’s Office or directly to the Key Shop will result in unprocessed requests.
- Required Information: When filling out the form, authorized submitters only need to provide the specific Room Number(s) for which access is required. The system will automatically align the room with the correct Key ID during processing.
- It is essential that the email address of the person needing the requested keys is correct as this is the only way for the Key Shop to notify them directly that their request is completed and key(s) are ready to be picked up.
- Use the Justification box to note any non-typical keys needed and the reason for them.
- Approval & Fulfillment: Once submitted, requests are routed directly to the BSB Director's Office. Upon review and approval, the required documentation will be processed to the campus facility key shop (SRC) for final processing.
- The requester will be notified once the key is ready for pickup by email and with instructions on when and where to pick up.
- Note: Peak key request times occur the first month of the semester, especially during the Fall semester. This means that requests for the entirety of campus will take longer.
