Shared Classroom Reservations

Classroom Reservations
- Academic classroom assignments are assigned and scheduled by the Registrar's Office. Information and submission for this can be done on the Class Requests webpage on their website.
- ANY and ALL changes needed are to be request through Class Requests.
- All scheduling of recurring, required academic components that meet outside the lecture component (i.e. labs) are scheduled by the Registrar’s office.
- This does not include make up exams or unplanned review sessions led by faculty members
- Labs as an example are not the only additional components that can be attached to classes. Work with the Registrar’s office for these.
- For non-academic event requests for BSB shared classroom, requests must go through Astra and contain all required information filled in (room number requested, dates, times, number of people, details/description of event, faculty member and department overseeing, a/v needs, etc.)
- Request will be declined if information is missing.
- Instructions on how to submit a request.
- Astra will not allow requests less than 72 hours in advance.
- At the beginning of each semester the priority of BSB room reservation is given first to Academic and SI sessions classes the first week, the second week of classes to BSB department requests, the third week of classes to student organization request will be reviewed - with priority given to those organizations within the sciences.
- A confirmation email will be sent once the request is approved. Print and keep confirmation to present as validation of the reservation of the room.
- Any changes or cancellations to requests must be emailed to bsb@baylor.edu. Please do not submit a new request for an existing reservation.
- If the room requested is not available, an alternate room, based on availability, will be assigned or other recommendations made.
- The back patio and 2nd floor elevator landings of the BSB are available for reservations for events. The same process is followed to submit a request for these areas in Astra. When filling out the form, in the “Assign a Room” tab, search under 'Room" filter for "elev" or "patio".
- For any tables and chairs needed, a work order must be placed to Baylor Facility Services.
- Requests must include setup and take down dates and times, instructions of the setup, and that the area used needs to be cleaned at the completion of event.
Classroom Use Policies and Restrictions
To maintain the integrity and cleanliness of the BSB academic spaces, all shared classrooms are subject to strict usage rules:
- Food and Drink: Food and drink (except water) are prohibited in all BSB classrooms.
- Prohibited Event Types: Shared classrooms are academic spaces. Events that are not permitted include mixers, talent shows, social movie nights, pageants, dances, dinners, fashion shows, and arts and crafts.
- Noise Restrictions: Amplified sound, loud music, DJs, and bands are strictly prohibited.
- All classrooms must be returned to their original setup, pictured at the classroom door.
- Furniture and equipment may not be moved from one room to another.
BSB Scheduling Priorities
Notice Regarding Early Requests: Astra scheduling requests are reviewed strictly in accordance with the below tiered priority timeline. If a request is submitted for an event date that falls before your priority tiered group’s review window opens, the request will be immediately declined to maintain queue order. If your department or organization requires space during the first few weeks of the semester before your priority tier opens, we highly recommend seeking alternative spaces on campus for those dates.
- BSB courses, exams, SI Sessions, & BSB Department requests
- All class and labs are requested through the Registrar’s Office.
- Any classroom or lab change requests must also go through the Registrar’s Office.
- All Final Exams are scheduled by the Registrar’s Office.
- Contact the Registrar’s Office if changes are desired.
- Make-up exams must be put into Astra with the information of what department, professor, course, and student included.
- Requests for BSB Departments and Faculty will not be reviewed until the second week of the semester on a first come, first served basis.
- All class and labs are requested through the Registrar’s Office.
- BSB student groups
- First must get approval though Student Activities Connect for each event that is requested. Once approved, download, and email the approval pdf to bsb@baylor.edu by following these steps:
- Log in to Connect
- Click on your account icon in the top right corner of the screen
- Click ‘Submissions’
- Under ‘My Submissions’, click ‘Events’
- Click the name of the event request
- Click the printer icon on the right side of the screen to export a .pdf copy of the event submission
- This must be turned in before putting requests into Astra.
- Requests will not be reviewed and processed until the third week of the semester on a first come, first served basis.
- First must get approval though Student Activities Connect for each event that is requested. Once approved, download, and email the approval pdf to bsb@baylor.edu by following these steps:
- Other BU departments
- Requests will not be reviewed until the third week of the semester on a first come, first served basis.

- External Groups
- External groups wanting to hold an event on campus must first make their request through the Baylor Institutional Events office.
- For details and policies visit the Baylor Institutional Events website or call 254-710-4150.
- All groups are subject to the Facilities Use and Campus Solicitation Policy and the guidelines of the Baylor Sciences Building.
- Following the approval of Baylor Institutional Events, the Baylor Department that is the sponsor of the External group may contact the BSB Director’s office at bsb@baylor.edu about reserving space.
- External groups wanting to hold an event on campus must first make their request through the Baylor Institutional Events office.
BSB CONFERENCE ROOM SCHEDULING
