BSB Departmental Forms, Requests, & Resources
Digital Signage Requests
The digital monitors located at the ends and middle of the BSB Atrium offer excellent visibility to faculty, staff, and students. These displays are restricted to use by science departments, programs, and institutional-level areas (e.g., Career Services, College of Arts & Sciences) to advertise special speakers, grant trainings, and department events.
Submission Guidelines:
Accepted File Types: JPG, PDF, or PowerPoint.
Formatting Best Practices: Documents must be in landscape orientation. Use minimal wording to ensure the sign is easily readable as people walk by.
Required Details: Priority emphasis should be placed on the name of the event or speaker, date, time, and location.

Large Scale & External Events (Institutional & Special Events)
If your department is hosting an event that involves external visitors, outside vendors, large numbers of non-Baylor participants, or impacts multiple Baylor resources, you must follow standard university procedures.
Event Guidelines:
Institutional Events Approval: Any external groups wanting to hold or is involved in an event on campus must first make their request directly through the Baylor Institutional Events office.
Risk Management & Insurance: Events involving outside vendors or large non-Baylor groups are classified as "Special Events". These organizations are required to carry liability insurance and provide a Certificate of Insurance.
Policy Compliance: All groups and events are subject to the university's Facilities Use and Campus Solicitation Policy, as well as the standard guidelines of the Baylor Sciences Building.
Reserving BSB Space: Following official approval from both Baylor Institutional Events and Risk Management, the sponsoring Baylor Department may then contact the BSB Director's office at bsb@baylor.edu about reserving the physical space.
When in doubt - reach out! If you are unsure whether your event meets the threshold for Institutional Events or Risk Management oversight, please do not hesitate to contact the Institutional Events office directly at 254-710-4150 for guidance.
